Job Purpose:
This role is responsible for coordinating the full range of office services and directly overseeing the Central Services administrative team as well as reception.
Key Responsibilities:
- Manage the purchasing of office, marketing, and kitchen supplies as per budget approvals and liaise with office vendors.
- Ensure office operations are running efficiently and in accordance with firm procedures, including but not limited to:
- Mail and courier deliveries and sends
- Office supply stocking
- Management of general maintenance requests & coordination with trades / vendors
- External deliveries to surrounding businesses and the court house
- Ensure office shared spaces (boardrooms, lunchrooms, reception areas) are kept tidy, stocked, and well-maintained
- Organizing relevant office signage
- Coordinate assistance for administrative tasks as required by management and legal staff
- Organizing tasks for external storage, the cleaning company, and furniture vendors
- Keep form templates up to date (Legum delivery slips, reception pick-up, etc.)
- Manage and keep up to date the staff directory and internal phone lists.
- Assist in recruitment and selection of department staff to ensure the effective and efficient operation of the Central Services group.
- Provide supervision, coaching and development of department staff.
- Identify resources allocations and operational efficiency opportunities, and approve the monthly Admin rotation schedule.
- Approve vacation time and time off requests for the Central Services department, ensuring appropriate team coverage.
- Organize and assist in the file destruction process.
- Take part in the preparation of annual office budgets.
- Assist the Marketing Coordinator in organizing firm-hosted events.
- Perform other relevant duties and tasks in line with business needs.
Requirements:
- Diploma / certificate in business administration an asset.
- Strong planning and organizational skills.
- Must be able to work in office M-F 8am – 5pm.
- Must be physically fit and able to walk around the building (indoors and outdoors) including stairwells, and throughout the Kelowna downtown area.
- Must be able to lift / carry supplies of approximately 20lbs.
- Effective verbal and written communication skills complemented with strong customer service skills.
- Excellent time management skills, and highly organized.
- Demonstrated leadership ability, preferably in an office setting.
- Attention to detail and the ability to effectively manage and prioritize a varied workload, ensuring that all deadlines are met.
- Ability to work well under pressure, in a collaborative team environment.
- Excellent problem-solving skills.
- Demonstrate a flexible attitude, and the ability to establish effective peer relationships.
Salary
$45,000 – $55,000 per year
